SAP-managed Task Center
What is SAP Task Center?
SAP Task Center is the SAP unified inbox solution that provides a single entry point for end users to access and process all their assigned tasks. This is achieved through integration with SAP and non-SAP applications. The tasks can be accessed by end users through the SAP Task Center Web app or Joule Work.
Flow
The reference architecture diagram shows the SAP Task Center integration with various task providers.
-
For identity management and authentication, the SAP Task Center tenant relies on SAP Cloud Identity Services - Identity Authentication as the identity provider (IdP). SAP Cloud Identity Services serve as central facade for the identity & access management. The SAP Cloud Identity Services - Identity Directory (IdDS) stores the SAP identities and the SAP Cloud Identity Services - Authentication (IAS) allow a secure authentication or a federation with third-party Identity Providers.
-
Each task provider, which is about to be integrated with SAP Task Center, must be able also to work with Identity Authentication as a hard prerequisite. To integrate а task provider with SAP Task Center, the following general guidelines should be followed:
- The users, who would consume SAP Task Center, must be available in both SAP Cloud Identity Services and the task provider system.
- The user identities must include the Global User ID, so that a user can be correlated across the different systems. For more information, see Global User ID in Integration Scenarios.
- The user entries must include essential user data, such as an email address and a display name.
- Sign-on should be configured between the task provider and Identity Authentication to enable navigation between SAP Task Center and the task provider.
- Tasks must be correlated with Global User ID, when provided to SAP Task Center. For example, the list of recipient users of a task must contain Global User IDs.
-
SAP Task Center communicates with the task provider applications through integration channels established via formations.
-
End users can access SAP Task Center via various application clients:
- Joule Work
- SAP Task Center Web app
Integration with Joule Work
Task Center is deeply integrated with SAP Joule to provide conversational task management capabilities, enabling users to interact with their tasks through natural language instead of traditional UI navigation.
Natural Language Queries
Users can interact with their tasks using everyday language:
- "What are my urgent tasks?"
- "What tasks need approval today?"
- Approve or reject tasks with natural language commands
- Attach comments
Evolution: From Customer-Managed to SAP-Managed
Traditional Customer-Managed Model
Historically, Task Center deployment and integration followed a customer-managed approach:
- Customer Provisioning: Customers were responsible for provisioning their own SAP Task Center instances within their subaccounts
- Customer-Managed Integrations: Each customer needed to configure and maintain integrations between SAP Task Center and their task provider systems
- Configuration Burden: Customers handled destination setup, authentication configuration, connectivity, and ongoing maintenance
Strategic Shift: SAP-Managed Task Center
SAP is now transitioning to a fully SAP-managed model that fundamentally changes the SAP Task Center deployment and integration paradigm:
SAP-Managed Provisioning
- Central SAP Instance: A single, centrally managed SAP Task Center instance operated by SAP
- Zero Customer Setup: No provisioning, configuration, or maintenance required by customers
- Automatic Onboarding: Customers gain access through entitlement without infrastructure management
- SAP-Operated Service: SAP handles all platform operations, updates, scaling, and reliability
- Simplified Governance: Unified security, compliance, and audit across all customers
SAP-Managed Integrations
The strategic direction is to implement SAP-managed integrations with all SAP applications:
Current State:
- SAP Managed n8n: First fully SAP-managed integration - zero customer configuration required
Future Vision:
- All SAP cloud applications integrate with the SAP-managed Task Center instance
- Automated integration between existing customer-managed SAP Task Center instances and the SAP-managed instance during transition.
Integration with SAP-Managed n8n
SAP-Managed Integration
The integration between SAP Managed n8n (SAP's agentic workflow automation platform) and SAP Task Center is completely SAP managed. This allows n8n workflow developers to create human-in-the-loop tasks via a dedicated node without requiring any credentials exchange.
